Formalingo Forms and Signatures: From Brief to Workflow

Conceptual illustration of forms and signatures in Formalingo

A business form belongs to a process: decide what to ask, collect answers, gather signatures when needed and pass the information into the next task. Formalingo connects form creation with collection and analysis. Its starting point can be a plain-language description or an existing document.

Formalingo is a product built and operated by DevShift. This product walkthrough follows its workflow and the questions teams should examine when planning information collection and signatures inside a business product.

Define the information and the starting material

The flow starts with a description of the form or a DOCX, PDF or CSV file. AI then generates question types, validation, sections and conditional logic. This connects the material a team starts with to the structure a recipient will complete.

For an evaluation, bring material that represents the actual task: a description of the information the team needs, or a document of the kind already used in the process. Check whether the generated questions match that need. The presence of a field does not establish that its meaning is right. Review wording, answer type, required fields and dependencies on other answers.

The form structure carries business decisions

Formalingo supports validation and conditional logic. Validation governs which answers a form accepts; conditional logic changes the path based on earlier answers. Sections organize the sequence. Together, these choices affect the information that eventually reaches the team.

When evaluating a form, walk through several answer paths and check what each one asks. If some questions only apply to certain recipients, inspect both the path that needs them and the path that does not. Try a missing answer or an incorrectly formatted value, too. Check whether the guidance tells the recipient clearly what to provide and how to continue.

After form creation, the flow includes a link for each recipient, response collection, multiple signers and tracking of opens and signatures. Each event has its own meaning: a team can follow progress, identify who still needs to act and define which state allows the next task to begin.

Map who supplies information, who signs and who needs to follow progress. With several signers, ask what the organization considers completion of the process. That definition helps the team plan the work after collection and identify cases still awaiting attention. A demonstration can then follow the roles and events that matter to the organization.

Collection leads into usable information

Formalingo describes analytics for form completion and drop-off points, together with CSV and Excel exports. For a business, the next question is what information its follow-up work needs and how a team can inspect it after collection. Downloading a file is one step; someone still needs to use that file for a defined task.

Check the export structure against the fields that matter to the organization. Can the person handling responses understand them in context? Completion data can identify a place worth investigating in a form. It does not, by itself, explain why a recipient stopped. Keep the measured event separate from a possible explanation when deciding what to change.

Design recommendations for an existing product

Formalingo offers a REST API with OpenAPI 3.1, HMAC-signed webhooks and embeddable forms. These are connection options to examine when information collection is part of a wider product. A scoping discussion should cover the destination system and the actions it needs to carry out.

Use these general design recommendations to plan the connection: define which event advances the workflow, which system receives the answers, who handles an exception and how the receiving team checks the information. Decide what information is necessary to keep and who needs to use it before choosing the connection method. Those decisions make a demonstration and an integration discussion more concrete and connect the form to the work that follows it.

Our product development service and SaaS development cost guide help frame the scope of a wider product. When the starting point is several documents that need comparison, the procurement document review example shows the distinction between collecting fields and resolving a conflict before further work proceeds.
